This agreement
These terms are a contract between you and Meeting Flow, operated from Bangladesh (“we”, “us”). By creating an account or using the desktop app, you accept them. If you are agreeing on behalf of an organisation, you confirm you have authority to bind it. Our privacy policy forms part of this agreement.
Accounts and eligibility
- You must be at least 16 years old to use Meeting Flow.
- You must confirm your email address before AI features unlock. This is how we stop automated signups from consuming the free allowance.
- You are responsible for keeping your credentials secure and for activity under your account.
- Accounts are for one person. Do not share logins. Concurrent use from multiple people is a breach of these terms and we may suspend the account.
- Give us accurate information, and keep it current.
Plans and credits
Each plan includes a monthly allowance of credits. A credit represents a fixed, buffered amount of the underlying provider cost, and different actions consume different amounts:
- Live transcription is charged per minute of each active audio lane while it is connected. It is the largest single cost in a typical meeting. Choosing an on-device engine in settings costs no credits at all.
- AI answers, screen analysis and reports are charged on measured model usage. We reserve an estimate before the request and reconcile it to the real figure afterwards, in whichever direction the difference falls.
- Allowances reset at the start of each billing period.
- Unused plan credits do not roll over. Credits bought as a top-up pack do not expire and are consumed only after the monthly allowance is used up.
- When an allowance is exhausted, AI features stop until the period resets, you buy a pack, or you move to a higher plan.
- Minute estimates shown on the pricing page and in the app are estimates, based on a two-lane meeting with typical AI use. Your actual usage will differ.
- Published limits may change. We will notify you before reducing the allowance on a plan you are currently paying for.
Fair use and rate limits
Each plan carries a request rate limit, sized well above what a real meeting produces. It exists to contain runaway clients and automated abuse, not to ration normal use. Background features — predicted follow-ups, speculative answers — are paused before anything you are actively waiting on, so a limit should be invisible during a live conversation.
We may adjust these limits to protect service availability. We may also apply stricter limits to an account that is generating load indistinguishable from automated abuse.
Billing
Payments are processed by Stripe. Subscriptions renew automatically at the interval you selected until cancelled. Prices are shown before checkout; where local pricing applies, you are billed in that currency and the local allowance shown at checkout is what applies. Taxes may be added depending on your location.
We may change prices. Changes take effect at your next renewal, and we will tell you before they do. Continuing after that is acceptance; if you would rather not, cancel before the renewal date.
Cancellation and refunds
Cancel any time from the Stripe customer portal. Access continues to the end of the period you have already paid for, and the subscription is not renewed. We do not automatically pro-rate refunds for partial periods, and credit packs are non-refundable once credits have been used.
If something went wrong on our side — a failed session, a charge you did not authorise, credits consumed by a fault in our software — contact us. We would rather fix it than argue about it. Statutory refund rights in your country are unaffected by anything in this section.
Acceptable use
You agree not to:
- Resell, sublicense, or expose the service as your own product.
- Reverse engineer the app, or circumvent plan limits, rate limits, or billing.
- Use the AI proxy as a general-purpose model API, or route traffic through it that is unrelated to meeting assistance.
- Use it to break the law, or to harass, defraud or impersonate anyone.
- Generate content that facilitates violence, hate, sexual exploitation, self-harm or other serious wrongdoing.
- Automate abusive request volumes, or share an account between people.
- Upload content you do not have the right to share with us and our processors.
Requests are screened by automated safety systems, and content that breaches these rules may be blocked.
Interviews, exams and honesty
Meeting Flow assists you during live conversations, and we are not going to pretend that raises no questions.
- You are responsible for how you use it. Many employers, proctoring services, certification bodies and academic institutions prohibit real-time assistance. Using Meeting Flow where it is prohibited may cost you an offer, a qualification, or a job.
- Do not use it to cheat on a proctored exam or an academic assessment. That is a breach of these terms, and we will terminate accounts we find doing it.
- The suggestions are a prompt, not a script. What you choose to say is yours, and you are accountable for it.
Recording consent
You are responsible for complying with the recording and consent laws that apply to you. Many jurisdictions require all parties to a conversation to be informed before it is captured or transcribed. Meeting Flow gives you the technical ability to transcribe a meeting; it does not give you legal permission to do so. Check the rules for your location and for the locations of the people you meet with.
Your content and ours
Your résumé, job descriptions, notes and transcripts remain yours. You grant us only the licence needed to operate the service: to store that content and pass it to the providers that transcribe your audio and generate your answers. We do not use your content to train models, and we do not sell it.
The software, brand and interface are ours and remain ours. Nothing here transfers any of it to you. Feedback you send us, we may act on freely.
AI output
Model output is generated text. It can be confidently wrong, out of date, or inappropriate for your situation. Transcription can mishear. Read what the app suggests before you say it — you are accountable for what you tell an interviewer or a client, not us. Do not rely on it for legal, medical, financial or other professional advice.
Third-party services
Meeting Flow depends on third-party providers for transcription, model inference and payments. Their availability and behaviour are outside our control, and a provider outage may interrupt the service. Their handling of data is described in our privacy policy.
Suspension and termination
We may suspend or terminate an account that breaches these terms, is causing harm to the service or to other users, or is subject to unpaid charges. Where we can, we will tell you why and give you a chance to put it right first; where a breach is serious we may act immediately.
You may close your account at any time from the dashboard. Doing so deletes your records and forfeits any unused credits.
No warranty
The service is provided “as is” and “as available”. To the maximum extent permitted by law we disclaim all implied warranties, including merchantability, fitness for a particular purpose and non-infringement. We do not warrant that transcription will be accurate, that suggestions will be correct or useful, that the app will remain undetectable by any third party, or that the service will be uninterrupted or error-free.
Limitation of liability
To the maximum extent permitted by law, we are not liable for indirect, incidental, special or consequential damages, or for lost profits, opportunities, offers or data. Our aggregate liability for any claim is limited to the amount you paid us in the twelve months before the claim arose.
Nothing here excludes liability that cannot lawfully be excluded, including for death or personal injury caused by negligence, or for fraud. Some jurisdictions do not allow certain exclusions, in which case the limits above apply only as far as that law permits.
Indemnity
You agree to indemnify us against claims, losses and reasonable legal costs arising from your use of the service in breach of these terms — in particular claims relating to recording a conversation without the consent required where you are, or to using the service where a third party had prohibited it.
Governing law and disputes
This agreement is governed by the laws of Bangladesh, without regard to conflict-of-laws rules. Disputes will be brought in the courts of Dhaka, Bangladesh. If you are a consumer, you keep the benefit of any mandatory protections and any right to bring proceedings in the courts of the country where you live.
Before starting proceedings, please contact us at support@meetingflow.app. Most things are resolvable that way.
General
- Severability — if a provision is unenforceable, the rest stands.
- No waiver — not enforcing a right once does not waive it.
- Assignment — you may not assign this agreement without our consent. We may assign it as part of a merger, acquisition or sale of assets.
- Force majeure — neither party is liable for delays caused by events beyond reasonable control.
- Entire agreement — these terms and the privacy policy are the whole agreement between us about the service.
Changes to these terms
We may update these terms. Material changes will be announced by email or in the app before they take effect, and the date at the top of this page will change. Continuing to use the service after that means you accept the revised terms. If you do not, cancel before they take effect.
